How to organize a resale inventory

ResellrHub editorial team · Updated 2026-10-12

A useful inventory tells you what you own, where it is, what it cost and where it is listed. Start with one row per physical item. A spreadsheet can work for a small catalog; a connected app becomes useful when the same item has several listings and repeated updates are difficult to track.

Use an identifier that does not change

Assign a short, unique SKU such as JKT-001 before photographing the item. Put it on a removable tag or the storage bag, not directly on a delicate product. Keep it independent of price, condition and marketplace because those details can change.

Do not reuse the identifier when an item sells. Two identical products need separate records if you manage them individually. A title is not a reliable identifier: it may be shortened or translated for another marketplace.

Record enough detail to recognize the stock

Your record should include title, condition, measurements, purchase cost, asking price, storage location and sale state. Add brand and accessories where they matter. Keep photos of defects and labels with the product rather than relying on memory.

Record the purchase cost when you acquire the item, including an appropriate share of a purchased lot where applicable. A zero or missing cost can make later calculations misleading. If you do not know a value, mark it unknown instead of inventing it.

Make the physical location useful

Create named locations such as Shelf-A or Box-03 and use the same label on the container and inventory row. Choose a location scheme you can search quickly while packing. A photograph folder is not a replacement for knowing where the physical item is.

When stock moves, update the location before closing the task. If several people handle orders, decide who records a move. Avoid leaving sold items mixed with available stock; a separate packing area reduces confusion during busy periods.

Link every marketplace listing to the same item

Keep the source marketplace and every published URL in the item record. If an import represents an item already in stock, reconcile it rather than creating another available item. Check identifiers and photos instead of matching only titles.

In ResellrHub, review imported records and publication results. Marketplace-specific categories and required fields still need attention. Use the support table to distinguish connected workflows from manual OLX or Facebook sale-cleanup tasks.

Schedule a short stock check

Regularly compare the physical shelves with available items and then inspect a sample of marketplace links. Look for sold items still available, missing stock, duplicate identifiers and unpublished records. Record discrepancies and resolve them before publishing more items.

Download the CSV template for a starting set of fields. It opens in common spreadsheet apps and contains an empty example reference, not customer data. It is a planning worksheet, not an automatic synchronization tool or a ResellrHub bulk-import format.

Your action checklist

  • Create a unique, permanent SKU.
  • Label the physical storage location.
  • Record cost, condition and photographs.
  • Keep marketplace URLs on the same record.
  • Check physical stock against available listings regularly.
